Send the service date and pickup time. For return or hourly trips, include the approximate end time as well.
Passengers & luggage
Give the number of travellers and a realistic luggage estimate, especially for airport, cruise and Whistler trips.
Flight or event details
Add flight numbers for airport pickups and fixed ceremony, cruise, meeting or event times when they affect the schedule.

For larger groups, mention whether everyone needs to travel together and whether there are oversized bags, ski equipment, strollers or child seats. Those details can change the recommended vehicle even when the passenger count stays the same.
